Hydraulic Squad respects your privacy. This policy explains what personal information we collect, why we collect it, how we protect it and what your rights are under the Protection of Personal Information Act 4 of 2013 (POPIA).

3. What personal information we collect
- Contact details: name, company, email address, phone number and physical or delivery address
- Enquiry details: the message you send us, and photos, drawings or measurements of equipment
- Business records: quotes, orders, invoices, payment records and job history
- Communication records: emails, WhatsApp messages and notes of phone calls
- Website data: IP address, browser type, pages visited and time on site, collected through cookies and Google analytics tools
We do not knowingly collect special personal information (such as health or religious information) or information about children.
4. How we collect it
- When you complete the Request a Call or Quote form on our website
- When you contact us by phone, email, WhatsApp or social media
- When you place an order or we do work for you
- Automatically, through cookies, when you use our website
5. Why we use it
We use personal information only for these purposes:
- To respond to enquiries and prepare quotes
- To carry out, deliver and invoice work you have ordered
- To provide after-sales support and warranty service
- To keep business, tax and accounting records required by law
- To improve our website and services
- To send you information about our services, where you have agreed or are an existing client (see section 12)
We process your information because you consented, because it is needed to carry out a contract with you, because the law requires it, or because it serves our legitimate business interests in a way that does not override your rights.
6. Who we share it with
We do not sell or rent your personal information. We share it only when needed, with:
- Couriers and transport companies, to deliver your goods
- Suppliers, when we order parts for your job (only the details they need)
- Our accountants, auditors and bank, for financial and tax purposes
- IT, email and website service providers who host or support our systems
- Authorities, when the law requires it
Everyone we share information with must keep it confidential and secure.
7. Information sent outside South Africa
Some of our service providers store information on servers outside South Africa, for example Google (website analytics and email), Meta (WhatsApp, Facebook and Instagram) and our website hosting provider. We only use providers that are subject to data protection laws or agreements that give protection similar to POPIA.
8. How long we keep it
We keep personal information only as long as we need it for the purpose it was collected, or as long as the law requires. Financial and tax records are kept for at least five years. Enquiries that do not lead to work are deleted after 2 years. When information is no longer needed, we delete or destroy it securely.
9. How we protect it
We take reasonable technical and organisational steps to protect your information from loss, misuse and unauthorised access. These include password-protected systems, access only for staff who need it, secure (HTTPS) website connections and up-to-date software. If a data breach affects your information, we will inform you and the Information Regulator as POPIA requires.
10. Cookies and website analytics
Our website uses cookies, small files stored on your device, to make the site work and to understand how visitors use it. We use Google Analytics (through Google Site Kit) to see which pages are visited and how people find us. This information is grouped and does not identify you personally.
You can block or delete cookies in your browser settings. The website will still work, but some features may not. If we add advertising tools, such as the Meta Pixel, in future, we will update this policy.
11. Your rights
Under POPIA you have the right to:
- Ask whether we hold personal information about you, and request a copy
- Ask us to correct information that is wrong or out of date
- Ask us to delete information we no longer have a lawful reason to keep
- Object to us processing your information
- Withdraw your consent at any time (this does not affect processing done before you withdrew it)
- Opt out of marketing messages
- Lodge a complaint with the Information Regulator
To use any of these rights, contact our Information Officer (section 2). We may ask you to confirm your identity first. We will respond within a reasonable time, and within 30 days where possible.
12. Marketing messages
We only send marketing messages by email, SMS or WhatsApp to existing clients about similar services, or to people who have agreed to receive them. Every message tells you how to opt out, and you can also reply “STOP” or email us at any time.
13. Complaints
If you are unhappy with how we handle your personal information, please contact our Information Officer first so we can put it right. You can also complain to the Information Regulator of South Africa: inforegulator.org.za (complaint forms and current contact details).
14. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
